Privacy Policy

Progressa is committed to protecting the privacy, dignity, and personal information of all individuals who engage with our services. We recognise the sensitive nature of the work we do and handle personal and health-related information with care, transparency, and in accordance with Australian privacy legislation, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

We collect personal and sensitive information only where it is necessary to deliver our mental health, wellbeing, counselling, psychology, and workplace training services. This information may include names, contact details, organisational information, health and wellbeing information shared during sessions, participation records, and billing details. Sensitive information is collected directly from individuals and only with informed consent.

Information is used solely for the purposes of service delivery, communication, quality improvement, and meeting legal, ethical, and professional obligations. Progressa does not sell, trade, or misuse personal information. Access to personal information is restricted to authorised staff and AHPRA-registered practitioners who require it to perform their role.

All records are stored securely using password-protected digital systems and appropriate safeguards. Information is retained only for the period required under professional and legal standards and is securely destroyed when no longer required. Individuals may request access to or correction of their information at any time by contacting Progressa.

Confidentiality Policy

Progressa respects the confidentiality of all individuals engaging with our services. Information shared during counselling, psychology, wellbeing consultations, and training programs is treated as confidential and managed in line with professional, ethical, and legal obligations.

Confidentiality is maintained except in circumstances where there is a serious and immediate risk to the safety of the individual or others, where disclosure is required by law, or where the individual has provided informed consent for information to be shared. Wherever possible, individuals will be informed prior to any necessary disclosure.

For employer-funded programs, individual participation details and session content remain confidential. Organisations may receive de-identified and aggregated information only, such as overall participation rates or general themes, to support wellbeing strategy and reporting.

Data Collection, Storage and Usage Policy

Progressa collects only the information required to safely and effectively deliver services. This includes contact details, session notes where applicable, attendance records, and feedback data.

All data is stored securely using industry-standard digital systems. Access is limited to authorised personnel and practitioners. Data is retained in accordance with legal, ethical, and professional obligations and securely destroyed when no longer required.

De-identified and aggregated data may be used to evaluate program effectiveness, improve service delivery, and report outcomes to organisations or funding bodies. No individual will be identifiable in any reporting.

Informed Consent Policy

Progressa is committed to ensuring all participation in services is voluntary, informed, and respectful. Informed consent is obtained prior to the commencement of counselling, psychology, wellbeing services, or training programs.

Individuals are provided with clear information about the nature of the service, what participation involves, potential benefits and limitations, and how personal information is collected and used. Consent may be withdrawn at any time without penalty.

For counselling and psychology services delivered by AHPRA-registered practitioners, consent is obtained for the collection of sensitive health information and reviewed as part of ongoing care. For group programs and training, participation is always voluntary and individuals are free to engage at their own comfort level.

Psychosocial Safety and WHS Policy

Progressa is committed to creating psychologically safe environments for all participants, staff, and facilitators. Programs are delivered using trauma-informed, culturally safe, and inclusive practices.

We actively identify and manage psychosocial risks associated with our services and comply with relevant Work Health and Safety legislation. This includes ensuring facilitators are appropriately qualified, supported, and supervised.

Telehealth & Online Service Policy

Progressa delivers selected services via telehealth and online platforms to improve accessibility, flexibility, and continuity of care. Telehealth services are provided by appropriately qualified and AHPRA-registered practitioners and are delivered in accordance with professional, ethical, and legal standards.

Telehealth services may include counselling, psychology sessions, wellbeing consultations, and certain training or education programs delivered via secure video or online platforms. Telehealth is offered where clinically appropriate and where it meets the needs and preferences of the participant.

Prior to engaging in telehealth services, individuals are provided with clear information about how telehealth works, potential benefits and limitations, privacy considerations, and alternative service options. Informed consent is obtained before services commence and is reviewed as part of ongoing care.

Progressa takes reasonable steps to protect privacy and confidentiality during telehealth delivery. Secure platforms are used wherever possible, and participants are encouraged to attend sessions in a private, safe environment. Practitioners will also conduct sessions from private locations and take steps to minimise interruptions.

Telehealth services are not suitable for all situations. Where a practitioner determines that telehealth is not clinically appropriate, or where there is a heightened risk that cannot be safely managed online, participants may be referred to face-to-face services, emergency supports, or other appropriate care pathways.

In the event of technical issues, sessions may be paused, rescheduled, or completed via an alternative agreed method. For telehealth sessions involving risk, practitioners follow established risk assessment and escalation protocols, including contacting emergency services if required.

Telehealth records and any related clinical notes are managed in line with Progressa’s Privacy, Confidentiality, and Data Storage policies. Telehealth services are delivered in compliance with applicable Australian laws, professional codes of conduct, and AHPRA standards.
